Your Responsibilities:
Office Operations
Support the day-to-day organisation of the office, helping to keep the workspace tidy, functional, and welcoming
Assist with managing office supplies, equipment, and meeting rooms
Help coordinate office maintenance, repairs, and service requests
Support communication with vendors, service providers, and contractors
Administrative Support
Assist teams with scheduling, meeting coordination, and occasional travel arrangements
Help manage calendars, meeting bookings, and conference calls
Support the Executive Assistant during holidays or absences, particularly with scheduling tasks
Handle incoming and outgoing communication, including emails and visitors
Act as a friendly first point of contact for guests and team members in the office
Team & Culture Support
Support the organisation of team events, workshops, and off-site meetings
Work closely with People Operations to help onboard new employees
Contribute ideas and support initiatives that improve team happiness and engagement
Act as a go-to contact for basic employee questions and office-related topics
Help foster a positive, collaborative office atmosphere aligned with Hawk’s values
Your Profile:
Currently enrolled in a bachelor’s or master’s programme (e.g. business administration, office management, or a related field)
Interest in office operations, administration, or people-focused roles
Strong organisational skills and attention to detail
Reliable, proactive, and able to manage multiple small tasks effectively
Comfortable communicating with different stakeholders in person and via email
Confident using standard office tools (e.g. Microsoft Office or Google Workspace)
Positive attitude, hands-on mindset, and willingness to learn
Fluent in English; German at B1 level or above is a plus
