The Lead Executive Business Partner will provide business support to our Chief Technology Officer to ensure that the company builds and grows the best products in the market. This is a great opportunity for a self-motivated, organized, and eager project manager to work directly with members of our C-Suite. Executives Business Partners at Klaviyo have insight into the vision and strategy of a leading tech company in hyper-growth mode while having hands-on impact on executing that vision.

How You Will Make a Difference

A successful Lead Executive Business Partner at Klaviyo will be a methodical, organized, take-charge project manager and executive support coordinator who has a deep understanding of all of Klaviyo’s business needs and the impact of major initiatives across departments. They must demonstrate the highest level of confidentiality and discretion in handling sensitive company information. In this role you will:

  • Oversee scheduling and calendar management for assigned executives, including working with executives to prioritize their time and attendance.
  • Attend meetings to capture action items and key insights; proactively follow up on deliverables by engaging key stakeholders and ensuring timely completion.
  • Partner closely with HR Business Partners (HRBPs) to support cross-functional initiatives and drive organizational objectives.
  • Complete travel arrangements and expense reports for the executives you support.
  • Manage the operational cadence of the organization you support to ensure that all pre-planning, meeting scheduling, and follow-ups are completed for major business initiatives throughout the year.
  • Manage logistics for departmental off-sites and other meetings and events as needed. Including helping to set agendas and review the content of these meetings.
  • Be the second set of eyes on all major business initiative planning and communication to ensure efficient allocation of resources and effective communication for cross-functional collaborations.
  • Serve as a key representative for your executives with cross-functional partners and stakeholders, proactively engaging on their behalf and leveraging their guidance as appropriate, requiring greater autonomy and influence across the organization.
  • Act a liaison between the executive team and their broader employee base, advocating for each party as necessary and driving transparency, effective communications and an inclusive work environment for everyone.
  • Take on ambiguous problems and scope end-to-end project plans; able to highlight clear results and share learnings.

Who You Are

  • You have 8+ years in an administrative support role.
  • You have experience supporting C-level executives, required.
  • You have experience booking employee travel.
  • You have experience completing expense reports. Experience holding your own corporate card (preferred).
  • You’re a systems thinker who can easily spot dependencies and identify gaps in overall project planning.
  • You’re highly adept in Google Suite, Slack, Zoom, and other communication technologies.
  • You enjoy analyzing and solving problems, helping people, building things, and you continually strive to do things better than the status quo.
  • You are intellectually curious.
  • You are proactive in anticipating the needs of the people you support and in obtaining the information you need to execute your projects.
  • You have a team-first mentality and have experience collaborating with key stakeholders on multiple projects.
  • You are able to work independently and are a self-starter.
    You have experience with event logistics, especially in a project manager capacity.
  • You are on a journey of continuous improvement, and you proactively seek and implement constructive feedback to level up your skills and knowledge
  • You possess excellent verbal and written communication skills, ability to influence, and exceptional organizational skills and attention to detail.

The pay range for this role is listed below. Sales roles are also eligible for variable compensation and hourly non-exempt roles are eligible for overtime in accordance with applicable law. This role is eligible for benefits, including: medical, dental and vision coverage, health savings accounts, flexible spending accounts, 401(k), flexible paid time off and company-paid holidays and a culture of learning that includes a learning allowance and access to a professional coaching service for all employees.

Base Pay Range For US Locations:
$125,600$188,400 USD
