Job Description Summary:
As a key member of our central IT Operations team, the IT Operations Specialist is the engine that drives a seamless, "white-glove" technology experience for our employees. From the moment a new hire signs their offer letter to the day an employee upgrades their hardware, you ensure they have the tools they need to succeed.
This role is foundational to supporting ModMed’s continued growth. You will own the full IT asset lifecycle from procurement and provisioning to record-keeping and hardware refreshes while simultaneously managing user account setups across our enterprise systems. We are looking for an execution-focused professional who thrives in a high-volume, fast-paced environment and possesses the critical thinking required to troubleshoot complex access and device issues.
Key Duties & Responsibilities
IT Asset & Hardware Lifecycle Management
Provisioning & Deployment: Configure, provision, and deploy laptops and IT peripherals for all new joiners and existing employees. Manage critical deadlines, specifically ensuring equipment is ready prior to scheduled IT orientation programs.
Asset Tracking & Procurement: Meticulously manage the complete IT asset lifecycle. Maintain highly accurate inventory records using internal IT tools, ensuring all procurements, deployments, and returns are properly documented.
Hardware Refreshes & Resales: Actively lead and participate in enterprise hardware refresh cycles, equipment recycling, and secure decommissioning initiatives.
Vendor Management: Interact regularly with external vendors for procurement, support, and warranty claims.
Account Provisioning & Systems Access
Enterprise Setup: Own the timely provisioning and de-provisioning of user accounts across almost all ModMed enterprise systems.
High-Volume Execution: Perform repetitive, detail-oriented account setups while strictly adhering to internal Service Level Agreements (SLAs) and quality standards.
Onboarding, Support & Troubleshooting
White-Glove Orientation: Actively participate in and lead weekly IT onboarding and orientation sessions, guiding new employees through our systems, tools, and best practices.
Ticket Resolution: Triage, troubleshoot, and resolve internal IT tickets related to accounts, access, and devices using strong critical thinking to analyze root causes.
User Experience: Deliver a high standard of customer-centric support, focusing on responsiveness, empathy, and seamless issue resolution for the global workforce.
Scope, Impact & Team Dynamics
Cross-Functional Collaboration: Work closely with the core IT Ops team, as well as IT Support, System Admins, HR, and Security.
Business Savvy: Operate with a mindset of resource optimization. Understand the financial impact of hardware and software decisions, making cost-effective choices that benefit the organization without compromising quality.
Continuous Improvement: Proactively stay up-to-date on emerging IT systems, tools, and best practices, continuously looking for ways to enhance operational efficiency.
Minimum Requirements (Must-Haves)
Experience: 4+ years of hands-on experience in IT Operations, Helpdesk, or IT Asset Management within a corporate environment.
Technical Acumen: Proven experience provisioning hardware (macOS and Windows) and managing user identities across multiple enterprise SaaS platforms.
Attention to Detail: Impeccable accuracy when handling large volumes of data, inventory records, and user access rights.
Communication & Adaptability: Strong ability to ask questions, provide clear updates, and adapt quickly to shifting priorities in a hyper-growth environment.
Preferred Qualifications (Good-to-Haves)
Certifications: CompTIA A+, ITIL Foundation, or equivalent vendor certifications (Apple, Microsoft).
Tool Proficiency: Experience with enterprise ticketing and ITSM systems (e.g., Zendesk, Jira Service Management) and Mobile Device Management (MDM) tools (e.g., Jamf, Intune).
Project Experience: Previous involvement in company-wide hardware rollouts or office expansion projects.
