About the role:

The Samsara Workplace team is dedicated to delivering world-class service to our employees. We provide them with the tools and resources they need to do the best work they can possibly do. As a WP Operations Specialist, your role is at the forefront of delivering unparalleled workplace experience as a Samsara culture ambassador, community advocate and service specialist. This role is office-based 5 days per week to cover the Workplace Team’s operational hours onsite from 08:00am to 17:00.

In this role, you will:

  • Act as Front of House lead for the Bengaluru-India office serving as the first point of engagement for colleagues, new hires, and visitors alike. This receptionist-inclusive role creates a warm welcome and a supportive environment that enhances the overall experience, and involves front-desk duties such as greeting guests, distributing badges and acting as receptionist for onsite events.
  • Provide a world-class workplace experience services to all employees, contractors and vendors to Samsara Bangalore office, remote employees and across our other offices to increase wellbeing, productivity and satisfaction.
  • Support management of the daily vendors including catering,micro kitchen, office provider, planting, housekeeping with relevant partners inclusive of tracking performance and highlighting service failures in a timely manner.
  • Perform general administrative tasks including but not limited to office attendance audits, business card ordering, swag quotations and ordering support, inventory tracking of store items and assets.
  • Supporting planning and execution of in-office events, inclusive but not limited to Employee Resource Groups events, national holidays, global events, executive and customer visits. This requires acting as a main liaison and triage any incoming event requests inclusive of event space management, AV/IT arrangements, onsite housekeeping/porter services and catering.
  • Conduct daily floorwalks, making sure that every employee/visitor visiting the space enters a safe, tidy and productive environment - this includes making sure that stationary stock is up to date, furniture setup is correct and reporting any maintenance/safety issues.
  • Responsible for post management for both incoming postal items as well as handling shipping requests as per procedures.
  • Monitoring and completing requests through ticketing systems and slack channels to ensure employee requests are being attended to in a timely and efficient manner.
  • Partnering closely with our Safety, Security and Resilience team on matters related to badges, visitors and incident management. Follow security and emergency procedures as defined from the Global team. Respond to emergency situations in a calm, efficient manner. Summon appropriate assistance and make appropriate notifications in accordance with operating procedures.
  • Work cross-functionally alongside our other support functions such as People Operations, Biztech, Communications to support all teams located in the office and remotely to provide a first-class experience to all and supports the need of creating a great place to work.
  • Own and conduct onboarding to all new hires within the region and align onboarding globally to ensure consistency and a continuous improvement process is in place.
  • Maintain all location SOPs, databases and communication details.
  • Support the Workplace Manager with adhoc support requests and provide cover in absence.
  • Champion, role model, and embed Samsara’s cultural principles (Focus on Customer Success, Build for the Long Term, Adopt a Growth Mindset, Be Inclusive, Win as a Team) as we scale globally and across new offices.

Minimum requirements for the role:

  • At least 2 years of experience in an administrative, junior office role, GCSE/High School or diploma education.
  • Great people skills with a passion for delivering excellence in customer service.
  • Proficient in GSuite required.
  • Ability to be resourceful and proactive in dealing with issues that may arise in a calm and professional manner.

An ideal candidate also has:

  • Experience of working in a fast-growing startup environment, hotel management or similar.
  • Specific Workplace, Safety or Facilities Management experience is ideal.
  • Ability to multitask, prioritise, and work under pressure in a fast-paced environment.
  • Slack/Zendesk/Jira ticketing experience is ideal.
